A professional email signature in two minutes
Every email you send is a chance to look professional and get a reply. This free email signature generator builds signatures with email-safe HTML tables, so they look right in Gmail, Outlook (desktop, web and mobile), Apple Mail and Yahoo — on light and dark mode. No sign-up, and no “created with” link at the bottom.
How to create your signature
- Pick one of 10 templates.
- Add your name, job title, company, phone, website and address.
- Upload a photo and logo, add social icons, a “Book a meeting” button or a banner.
- Click copy for your email app and paste it into the signature settings.
How to add it
- Gmail: Settings › See all settings › General › Signature › Create new › paste.
- Outlook: Settings › Mail › Compose and reply › Email signature › paste.
- Apple Mail: Mail › Settings › Signatures › paste (untick “Always match my default font”).
What to include
- Name, job title and company
- One phone number and website — keep it short
- A small logo or photo (under about 100 KB)
- Two to four social icons that matter for your work
- An optional call to action: booking link, latest offer or review link
Matching brand materials
Use the same colours and logo in your business card maker and letterhead generator designs so every touchpoint looks consistent. Add a scannable contact card with the vCard QR code generator.
Ten layouts, one click to copy
Choose Classic, Stacked, Side bar, Compact, Name band, Centered, Two columns, Text only, Corporate or Top accent. Add your photo or logo, brand colour and social links, and preview it on desktop, on a phone and in dark mode.
Add it to your email app
- Gmail: press Copy signature, then in Gmail go to Settings → See all settings → Signature, paste and save.
- Outlook (new and web): Settings → Accounts → Signatures, paste.
- Outlook (Windows), Apple Mail, Yahoo, Thunderbird: follow the step-by-step guide for your app under the preview.
Copy the signature itself, not the code, for Gmail and Outlook. Use Copy HTML or the .html file for apps that ask for code.
What makes a good signature
- Name, title, company, one phone number and your website — that’s usually enough.
- Photos and logos should be small (under about 100 px tall) so they load fast.
- Three to five social icons at most.
- No quotes or long disclaimers unless your company requires them.
Why images sometimes don’t show
Some email apps block images until the reader allows them. Upload your photo and logo, or use a link to an image online, and always include your name and phone as text so the signature still works without images.
