Add an event to the calendar with one scan
An event QR code contains an iCalendar (VEVENT) entry. Scanning it lets guests add your event straight to their phone calendar — with the correct date, start and end time, location and description — so they get reminders and never miss it.
How to make an event QR code
- Enter the event title.
- Choose the start and end date and time (and time zone).
- Add the location or online meeting link and a short description.
- Style the code, add a “Save the date” frame and download.
Perfect for
- Wedding invitations and “save the date” cards
- Webinars, workshops and classes
- Conferences, exhibitions and open days
- Store sales, launches and appointments
Tips
- Keep the description short so the code stays easy to scan.
- For online events, put the meeting link in the location field.
- Print the date and time next to the code too — not everyone scans.
- Add a website QR (URL QR generator) for tickets or RSVP.
Does it work on all phones?
Most Android phones add calendar QR codes directly from the camera; on iPhone the camera shows the event and lets you add it to Calendar. Test with the phones your guests are likely to use.
What goes into an event QR code
The code stores the event in the standard calendar format: title, start and end time, location and a short note. When someone scans it, their phone offers to add the event to their calendar — no typing, no wrong dates.
Fill it in like this
- Title: short and clear — “Grand Opening — Velo Store”.
- Start and end: pick the date and time. Times are saved as local time, so the event shows at the same clock time on the guest’s phone.
- Location: an address or venue name; on most phones it becomes a map link.
- Description: one or two lines. For long details, add a link to your event page instead — long text makes the code dense and harder to scan.
Where event QR codes work well
- Wedding cards and invitations — guests save the date in one scan.
- Seminars, webinars and workshops on posters and social posts.
- Sale days and store openings on flyers.
- School and community events on notice boards.
Test before printing
Scan the code with both an Android phone and an iPhone and check the date, time and location in the calendar entry. If guests are in another time zone (for an online event), mention the time zone in the description.
Want people to RSVP or see full details? Make a second website QR code that links to your event page, and print both side by side.
