Calendar QR code generator — scan to add an event to your phone calendar

What is a calendar QR code?

A calendar QR code holds the details of an event — title, date and time, place and notes. When a guest points their phone camera at it, the phone offers to add the event to their calendar, so nobody has to type the date in or forget it. They are popular on wedding invitations, event posters, webinar slides, class timetables, appointment cards and trade-show stands.

Three types of calendar QR code

TypeWhat it containsBest for
Calendar event (iCal)The event itself in iCalendar format (BEGIN:VEVENT)Printed invitations and posters — works offline in the phone’s own calendar on iPhone and most Android phones
Google Calendar linkA link that opens Google Calendar with the event filled inGuests who use Google Calendar; supports repeats reliably
Outlook.com linkA link that opens Outlook on the web with the event filled inOffice and business audiences using Outlook

How to make one

  1. Pick an example or type your event title.
  2. Set the start and end date and time, and choose the time zone those times are in. For festivals and conferences tick All-day event.
  3. Add the location, a short description and an optional link (tickets, RSVP or a meeting link).
  4. Choose whether it repeats and, for the .ics file, a reminder.
  5. Choose what the QR code opens, check the scan check badge, and download a PNG for print or digital use, or an SVG for designers.

Tips for a QR code that always scans

  • Keep the description short. Every character makes the code denser. The tool shows the module count and a suggested minimum print size.
  • Print it big enough: about 2–3 cm wide for a card held in the hand, and larger for posters seen from a distance (roughly one tenth of the scanning distance).
  • Use dark on light. Keep a white margin (quiet zone) around the code.
  • Time zones matter. The tool saves times in UTC, so a guest in another country sees the event at their own local time.
  • Test before printing with both an iPhone and an Android phone.

Frequently Asked Questions

How do I make a QR code that adds an event to a calendar?

Enter the event title, date, time and place, choose the Calendar event type and download the QR code. When someone scans it with their phone camera or a QR app, the phone offers to save the event in its calendar.

Does a calendar QR code work on iPhone?

Yes. The iPhone Camera app recognises calendar event QR codes and shows an option to add the event to Calendar. Android phones do the same through the camera or Google Lens on most models.

Can I make a Google Calendar QR code?

Yes. Choose the Google Calendar type and the QR code opens a Google Calendar page with your event filled in, ready to save. The guest needs to be online and signed in to Google.

Does the QR code need internet to work?

The Calendar event type does not — all the details are inside the QR code. The Google Calendar and Outlook types are links, so they need a connection.

Can a calendar QR code be a repeating event?

Yes, the tool adds a repeat rule (every day, week, month or year, optionally a set number of times). Some phone scanners ignore repeats in the offline type, so for classes and meetings the Google Calendar type or the .ics file is more reliable.

Do calendar QR codes expire?

No. The event details are stored in the code itself, so it keeps working forever. If the date changes, you need to make and print a new code.

Is my event data saved anywhere?

No. The QR code is made in your browser and nothing is uploaded.
